ASSISTANT PRODUCER
An exciting opportunity for an Assistant Producer to join our Theatre Programme Team in a world-leading dance organisation in the heart of London.
The Assistant Producer is a core member of the Theatre Programme team, working closely with the Programme Producer and other colleagues to deliver the programme in our London theatre and off-site presentations. The team is made up of an Artistic Director, Senior Producer, Programme Producer, Youth and Family Producer, and Assistant Producer.
The team's work includes the programming and producing of the Theatre seasons, drafting contracts, preparing financial proposals and budgets, handling negotiations and discussions with visiting companies, organising the access programme around productions, artist liaison, and liaising internally with other Place colleagues.
The principal responsibility of the Assistant Producer is to coordinate, administrative and provide key producing support for the Theatre Programme. The role serves as a key liaison between artists, our Visitor Services, Technical, and Marketing Teams, providing vital information to support the realisation of an ambitious performance Programme. In addition, the post holder will provide administrative support, oversee finances (including financial administration), and handle general enquiries as directed by their Line Manager.

SALARY
The salary for this position is £29,823 per annum.
Salaries are reviewed in August each year when any cost-of-living increases are made. No salary changes are made until after successful completion of a probationary period.
CONTRACT TERMS
This is an open-ended, permanent contract. This is a full-time position (equivalent to 40 hours per week). These hours are inclusive of a one-hour paid lunch break each day. Your hours of work will be agreed with the line manager.
Whilst in the six-month probationary period the notice period will be two weeks. Once this period is successfully completed the post holder will be confirmed in the post and the notice period will be eight weeks.

PERSON SPECIFICATION
ESSENTIAL CRITERIA
KNOWLEDGE
- Demonstrable knowledge of contemporary performance (theatre, circus or dance) in the UK; this may be demonstrated through work experience, voluntary experience or education.
- Knowledge and understanding of artistic programme event management or working in an artist liaison environment.
SKILLS
- Proven organisational skills, including the ability to set up schedules and systems, monitoring budgets and organise events.
- Confident when communicating in a professional manner and ability to relate to a wide range of people including colleagues, artist and organisations.
- IT skills including proficiency in using a range of software packages.
EXPERIENCE AND QUALIFICATIONS
- Professional administrative experience in an arts environment, preferably within a performance context.
- Demonstrable experience of working with artists and engaging with them in a constructive and sensitive way.
- Numerate and experience of budgeting

- Experience of working in a theatre, venue or festival situation.
- Experience in providing or consulting on accessible work practices.
- Understanding of copyright and licensing, PRS, PPL, Foreign Entertainers Unit and/or work permits/visas.
- Experience of Spektrix box office systems.

KEY RESPONSIBILITIES
PLANNING AND DEVELOPMENT
- Contribute to the planning of the department's programme and, in particular, to the Theatre Programme.
- Research the feasibility of specific initiatives as required and undertake administrative duties related to the planning of the theatre programme.
ADMINISTRATION
Administrate the Theatre Programme as agreed by, and with the guidance of, the Theatre Programme Producer. Duties Include:
- Administrate all Theatre Programme activity including the annual Resolution Festival.
- Support the on-sale process and smooth running of all activity related to the Theatre Programme. This includes planning and administrative support for the Theatre programme and associated events.
- Support the administration of Theatre hires, working closely with the Theatre Programme Producer and Visitor Services team.
- In liaison with the Communications department, update and maintain the information provided on the departmental section of The Place's website.
- Support with the monitoring, collation and reporting of data, particularly with regards to inclusion and access.
- Undertake administrative responsibilities to include arranging and minuting meetings, creating databases and schedules, correspondence, mailings, project evaluation and budget administration.
- With the other Assistant Producer, be responsible for the day-to-day operation of the office which includes providing an appropriate environment for visitors and staff, developing and implementing office systems, photocopying, filing, taking and collecting the department's post.
- Coordinate complimentary ticket requests and maintain the staff sign-up sheet.
VISITING COMPANIES
The Assistant Producer (Theatre Programme) is the first point of contact for visiting companies performing in the Theatre. Responsibilities include:
- Work with the team to build and maintain excellent working relationships with artists, producers, other arts venues and partners.
- Draft and prepare contracts and ensure regular liaison with visiting companies.
- Oversee project logistics, including travel and accommodation arrangements where appropriate with visiting companies.
- In liaison with the Theatre's Technical Team, prepare and allocate dressing rooms.
- Collecting information and maintain systems related to the UK Immigration and Visas (UKVI) and Foreign Entertainers Unit (FEU) systems, in liaison with the Executive Producer.
- Manage artist filming requests, booking videographers and all associated filming administration.
- Collect information from companies’ access riders and coordinate fulfilling requests that come through the rider.
- Attend performances at The Place in the evenings and at weekends on a regular basis.
- Coordinate PRS (Performing Rights Society) communication and administration.
GENERAL DUTIES
- Maintain accurate financial information or reports in all financial procedures.
- Maximise income and minimise expenditure without loss of quality in all areas of responsibility.
- Maintain and expand individual knowledge of the UK dance sector by researching and reading relevant material and by attending and taking part in meetings, watching performances and attending events with the guidance of the Theatre Programme Producer.
- Deputise for the Theatre Programme Producer and undertake any other duties reasonably requested by the Theatre Programme Producer, Senior Producer, Youth and Family Producer, or Artistic Director.
